All sponsorship levels are open.
1. The Gold level at $10K. This Level includes ads in all conference publications and signage at all social functions and 3 full registrations in addition to a full exhibit of double
space.
2. The Silver level is at $7.5K. This level includes ads in all conference publications and signage at the conference reception as well as two full registrations and single exhibit space.
3. The Bronze level is at $5K. This level which includes
one registration, an exhibit space and ads in the conference program publications.
4. An exhibit only is at $2K which includes one registration.

Dear Colleague:
The IEEE International Electric Machines and Drives Conference provides an international forum for sharing experience, new ideas, and developments in design, operation, analysis, and practical application and optimization of electric energy and drive systems and their components. IEMDC is a venue for users, designers and manufacturers, and analysts of electric machines and drives and their related power electronics and controls. The conference is jointly sponsored by the IEEE Power and Energy, Industrial Electronics, Industry Applications, and Power Electronics Societies. Several tutorials in the form of full day and half day short courses will be offered during the day on May 3, 2009.
In addition to the subjects identified above, the conference will have papers and plenary presentations by recognized experts to highlight various aspects of electric machines and drives, such as automotive applications, renewable and alternate energy applications. Of interest are topics related to PM and IPM motor drive systems, fault tolerant operation and survivability, diagnostics and prognostics of machine drive systems, bearings current, sensorless methods, and turbogenerator operation and maintenance. Also of interest are papers in areas including novel designs and applications of machines and drives, hybrid electric vehicles, naval and aircraft power systems. Papers addressing these and related topics are encouraged.
We will have more than 500 attendees from more than 55 countries with approximately 400 papers to be presented.
The exhibits will be held on Monday, May 4 through Wednesday, May 6 from 8:00 AM until 5:00 PM in the main exhibit area (exhibits will close at 5:00 PM on Wednesday). Setup of exhibits will be on Sunday May 3, 2009. Your company will find the format of our exhibit show especially designed to maximize your connectivity and minimize your costs. Exhibitor’s booths include a skirted 3’ by 8’ table, chairs and access to electricity. Backdrops are available upon request. A more detailed description of the provided materials is given in the attached Exhibition Rules and Regulations. In addition, the purchase of a professional/company booth will be at a flat rate of $2000.00 for the entire main period of the conference. One full registration fee is included in this cost.
At the IEEE IEMDC2009, you will have an opportunity to connect with company representatives and individuals leading the way in Electric Machines and Drives and the alternate and renewable energy area. You will be able to influence a growing and interactive group of innovators and future users in these areas. IEEE IEMDC2009 Exhibition Rules and Regulations
Booth Furnishings. Each exhibitor shall be provided with an 8' x 10' booth unless a larger booth has been contracted. Exhibits should not exceed 10 feet in height. Each booth will have one 8-foot skirted table and two chairs. If you need additional furniture, you must request it through the conference general Chair.
Shipping, Moving, and Storage. The exhibitor is responsible for shipping exhibits to and from Miami, FL, and paying for cost of the same. The exhibitor is responsible for all storage and labor cost. Please ship your exhibit materials that you do not bring with you to the Conference Secretariat. Exhibitors will not be permitted to store packing crates and/or boxes in the booth or exhibit area during the show, however, when marked with the name and address of the exhibitor, they will be stored and returned to the booth. It is the exhibitors' responsibility to mark and identify all crates and boxes.
Installation/Dismantling/Layout. Installation will take place from 2:00-5:00 PM on Sunday May 3, 2009 and from 7:00 to 9:00 AM on Monday, May 4, 2009. All exhibits must be in place by 9:00 AM and may remain in place up to 5:00 PM Wednesday, May 6. Dismantling could begin no earlier than 3:00 PM on that day. Booths will be assigned on a first-come, first-served basis determined by the date when both the contract and payment are received. Show hours are subject to change prior to the event. If such a change occurs, the exhibitors will be contacted. Booth assignments will be given upon arrival to the show and received from the registration office IEMDC2009 at the hotel.
Displays and Decorations. Exhibitors may not use signs, banners or decorations that exceed 10 feet in height. The exhibitors must keep all exhibit materials within their 8' x 10' exhibit area (except in cases where a larger booth has been contacted). Merchandise, signs, decorations, or display features shall not be pasted, taped, nailed, or tacked to the walls of the exhibit room.
Electricity. Electrical accommodations will be provided through the services contractor. Each booth will be furnished with a power strip with a minimum of 500 watts, 120 VAC. If more power is needed, please contact conference general chair.
Booth Personnel. Each 8' x 10' booth shall be staffed by no more than three people. Exhibitors must submit a list of personnel who will be staffing their exhibit, for registration purposes, by March 9, 2009. No free conference registrations are included as part of the exhibit plan other than one registration per exhibit.
Indemnity and Limitation of Liability. Exhibitor agrees that IEMDC2009 and the Hilton Miami Downtown Hotel shall not be liable for any damage, theft, or liability of any kind or for damage or injury to persons or property during the term of this agreement, from any cause whatsoever, by reason of use, occupation and enjoyment of the exhibit space by exhibitor or any person thereon with the consent of the exhibitor, and that the exhibitors will indemnify and save harmless IEMDC2009, the IEMDC2009 Conference organizers and committees and the Hilton Miami Downtown Hotel from all liability whatsoever, on account of any such damage, or injury, whether or not caused by negligence of or breach of an obligation by exhibitors or its employees or representative.
Fire Laws. Federal, State and City fire laws must be observed. Light wood and cloth decorations must be flameproof. Wiring must comply with fire department and underwriters rules. Smoking in exhibits is forbidden. Aisles and fire exits cannot be blocked by exhibits.
Insurance. Exhibitors shall effect coverage for all exhibit merchandise at site and in transit, if applicable, and, the IEMDC2009 Conference organizers, committees and the Hilton Miami Downtown Hotel shall not be responsible for any loss or damage. The exhibitors shall carry their own fire insurance and public liability insurance.
Guard Service. Security of the exhibit area is not maintained by the Hilton Miami Downtown Hotel. The IEMDC2009 organizers will provide overnight guard watch during the exhibit period. If needed, additional guard service may be contracted by the exhibitor to provide individual exhibit coverage, extended show hour coverage, etc.
Exhibitor Cancellation. Exhibitors shall receive a full refund of moneys paid to IEMDC2009 if notice is received by March 9 2009. If such cancellation is received between March 9, 2009 and April 1, 2009, 50% of all moneys paid to IEMDC 2009 by the exhibitor will be returned. If such cancellation is received April 2, 2009 or later, exhibitor shall forfeit the exhibit fees paid to IEMDC2009.
Termination or Modification of Exhibits. If, because of war, fire, strike, exhibit facility renovation project, government regulations, public catastrophe, act of God or the public enemy, or other cause beyond the control of IEMDC2009, the exhibit or any part thereof is prevented from being held, is canceled by IEMDC2009, or the exhibit space becomes unavailable IEMDC2009 in its sole discretion, shall determine and refund to the exhibitor its proportionate share of the balance of the aggregate exhibit fees received that remain after deducting expenses incurred by IEMDC2009 and reasonable compensation to IEMDC2009. In no case shall the amount of refund to the exhibitor exceed the amount of exhibit fee paid. IEMDC2009 reserves the sole discretion to ask an exhibitor to alter or remove their exhibit if IEMDC2009 feels that the exhibit is in any way inappropriate.
